Registration Services

CMS understands that a successful event depends on accurate and reliable event registration services. This is one of the first experiences your attendees will have; you want this process to go well. First impressions are lasting impressions - this one will be very positive. CMS will see to it that every aspect of your event registration is handled with a personal touch in order to obtain your complete satisfaction.

Our registration system can provide you and your attendees with trustworthy, easy-to-use online meeting registration services in a secure environment, as well as process registration through fax and mail services. CMS will also acknowledge each registration within 24 hours with a confirmation e-mail to each person who registers online.

We can prepare camera-ready copies of conference registration forms, process and validate credit card charges of registration fees for American Express, Visa, and MasterCard, as well as establish a database and print receipts, tickets, and nametags for delivery to registrants at the event. CMS will also be happy to host a meeting website or provide a registration link to your own web site.

In preparation for your event CMS will also maintain a detailed and up-to-date database, making necessary changes, additions, or corrections to ensure accuracy for the group and the attendee. In addition, we will pursue payment of registration fees from those providing invalid payment methods, process cancellations and refunds upon committee approval, and prepare registration packets and badges for exhibitors. Our friendly and experienced staff will also respond to telephone and e-mail inquiries about individual registration status information on a case-by-case basis.

Our services do not stop online. We will walk with you and your attendees through every step, including on-site registration processes. At the host property CMS will secure an on-site registration desk, including the necessary computer/printer equipment needed. One possible system design can also allow attendees to register themselves at the conference if they desire. Furthermore, we will establish a message center and provide on-site pickup for advance registrants with a minimal in-line wait. We will assist in training local registration staff and volunteer assistants for on-site pickup of advance registration materials so that the registration process is quick and effective. CMS can arrange for badges to include a scanning feature that will allow for lead retrieval by the exhibitors and prepare registration packets and badges for exhibitors. Finally, on-site banking services would gladly be arranged.

CMS not only provides advance and on-site registration services, but will also take care of your post-event needs. CMS will provide current registration data upon request of the General Chair and/or Registration Chairman, send meeting materials to "no-show" attendees who have paid in full at the committee's request, and provide written reports of conference registration counts in each registration category and breakdown of payment methods. We will also deposit funds into an escrow account for paying conference invoices, design and maintain an attendee database to be available for mailing activities, and compile lists of all registrants suitable for posting at the conference and/or disseminating to exhibitors.

CMS will work with your committee to do whatever it takes to make sure that you and your attendees experience a stress-free registration process.

Registration Services:

Advance Registration:

  • Establish an on-line meeting registration system in a secure environment.
  • Host meeting web site or provide a registration link to your web site.
  • Prepare camera-ready copy of conference registration form and have the registration on-line for easy registration. (We will provide an appropriate URL if we are not hosting the site.)
  • Log into database each advance registration that is sent hard copy via fax or mail.
  • Establish a database and print receipts, tickets, nametags, etc., for delivery to registrants at the conference.
  • Immediately validate credit card charges of the registration fee via our on-line system.
  • Acknowledge each registration within 24 hours. CMS will e-mail a confirmation letter to each person who registers on-line.
  • Process credit cards for American Express, Visa, and MasterCard.
  • CMS will print name badges, event tickets, and a receipt for all registered attendees.
  • CMS will arrange for badges to include a scanning feature that will allow for lead retrieval by the exhibitors.

  • Assist in training local registration staff and volunteer assistants for on-site pickup of advance registration materials.
  • Arrange for on-site banking.
  • CMS will provide accurate, current registration data upon request of the General Chair and/or the Registration Chairman.
  • Compile lists of all registrants suitable for: (a) posting at the conference, and/or (b) dissemination to exhibitors.

After Your Event:
